Executive Assistant - Administration Department

This position is responsible for serving as confidential assistant to the Office of the Town Administrator (TA) and the Select Board (BOS), providing multi-faceted administrative support in connection with the day-to-day operation of the office and with special projects as required.

  • Serve as the confidential assistant to the Town Administrator performing a wide variety of administrative duties in connection with the daily operation of the office.
  • Serve as the confidential assistant to the Select Board. Prepare agendas and informational packets, maintain meeting files, attend meetings of the BOS, transcribes minutes, and assures proper and timely postings of meetings.
  • Assist with preparation of documentation including policies, contracts, budget, and capital requests.
  • Serve as contact to the general public, fields incoming calls, provides information, and assistance on matters not requiring the personal attention of the TA: makes appropriate referrals.
  • Acts as liaison for the TA and BOS with Town departments and the public. Responds to and follows up on requests for information from employees, vendors, and members of the public.
  • Manages license renewals and new license applications in compliance with Massachusetts General Laws and Town bylaws for alcoholic beverages, common victuallers, new and used auto dealers, and others required by the Town.
  • Tracks departmental expenditures and accounts payable.
  • Compile Town-wide data for the Annual Town Report; develops and completes the document for publishing.
  • Assist with coordinating Town Administrator appointments and reappointment of the appointed office holder.
  • Manage special projects as assigned by the Town Administrator.

Associate degree or equivalent and three to five years of experience in an office setting, preferably a municipality, or any equivalent combination of education and experience required.

Qualifications include:

  • Experience with Microsoft Office
  • Ability to multi-task and prioritize with attention to detail
  • Ability to maintain confidentiality
  • Excellent verbal and written communication skills
  • Knowledge of the overall municipal operation

Recycling Center Attendant - Highway Department (Per Diem) 

Responsibilities include but are not limited to:

Opening the Recycling Center promptly at 8:00 a.m. on Saturdays and closing at 12:00 p.m.; following the Recycling Center Fee Schedule for acceptable/non-acceptable items and yard waste and pricing of certain items to which a fee is charged; verify that anyone using the Recycling Center has a valid permit; issue use permits (verifying town of Mendon residency) and log permit number sold into the Recycling Center Permit Log. Must also ensure that all gas and oil has been drained from items to be recycled (i.e. lawn mowers, chain saws, weed whackers, etc.), refrigerators and freezers are empty and assist residents in the proper disposal of recycling material.

Qualifications: High school diploma or equivalent. Must be capable of lifting items up to 30 pounds. 

$18.00 per hour.
